A clinical will says who will look after your clients if you die or become unable to work. BABCP members must have one, and the BACP recommends it. Bloom handles the practical side: you name a clinical executor once, and if that day ever comes they can tell your clients, cancel sessions and pass records to another therapist, safely and only after proper checks. Nothing happens until then.
This does not replace a written clinical will. Keep your written will in line with your professional body’s guidance, and keep the Bloom summary PDF with it.

Naming your executor

Head to Settings, then Clinical will.

Add their details

Their name and email address are required; a phone number and your relationship to them are optional. Choose someone you trust to act on your behalf, such as a colleague or supervisor.

Choose a successor therapist (optional)

The person your executor would hand records to by default. Your executor can still choose someone else at the time.

Decide about session notes

Allow access to session notes is off by default. Most clinical wills only need contact details, so leave it off unless you have a specific reason. While it is off, your executor can never open a note, and Bloom staff cannot change that for them.

Write your message to clients

The message your clients receive if the day comes, in your own words. Bloom sends it on your executor’s instruction. Leave it blank to use Bloom’s standard wording. This email keeps Bloom branding.

Save

Select Save clinical executor. Bloom emails your executor asking them to acknowledge or decline, and emails you a confirmation with a one-page summary PDF.
Keep the summary PDF with your paper clinical will. It records who you named, what they can see, and the link they use to request access. Download it again at any time with Download summary PDF.

Acknowledgement

You can also edit and preview this message under Settings, Emails, Clinical will. Both places use the same saved wording. See Email templates. The card shows where things stand: Invited, awaiting acknowledgement until they respond, then Acknowledged or Declined. When your executor acknowledges, Bloom emails them their own copy of the request-access link to keep, and they can ask for it again from the executor sign-in page at any time. If they decline, Bloom emails you with a link to nominate someone else. If the invitation email could not be delivered, the card shows a warning so you can check the address and save again.

Keeping it current

Once a year Bloom emails to ask whether they are still the right person. Select Still the right person on the card to confirm in one click.
  • Change replaces your executor. The new person is asked to acknowledge, and the previous one is told they no longer hold the role.
  • Remove ends the nomination and tells them. You can name someone else at any time.
You cannot change or remove your executor while a request for access is in progress or while their access is active.

If the day comes

Your executor opens the request-access link from the email Bloom sent them when they acknowledged (it is also on your summary PDF, and the executor sign-in page can re-send it) and requests access. They choose the reason (you have died, or you are unable to work), upload evidence such as a death certificate or a letter from a GP, hospital, solicitor or next of kin, and leave a phone number so Bloom can reach them.

You have 72 hours to stop it

Bloom emails you a single-use link. If you are well and this is a mistake, select This is a mistake, stop it. The request stops, your executor is told, and nothing about your practice changes.

Bloom reviews the request

Once the 72 hours have passed, our team checks the evidence and approves or rejects the request. Approval is never automatic and never happens before the window ends.

Access opens

Your executor is emailed a sign-in link. Your subscription is paused so nothing further is charged, and your booking page comes down so no new clients can book.

What your executor can do

For clinical executors

A guide written for the person you name: what acknowledging means, how to request access, and what their dashboard does. Worth sending them.
Your executor does not need a Bloom account. Once approved, they sign in with an emailed link that lasts 24 hours, and can request a fresh one from the sign-in page whenever they need it. Their dashboard is deliberately small, with four tabs:
  • Clients lists each client’s name, contact details, last and next session, and whether they have been told yet. Send notification emails your message to that client, with replies going to your executor. Mark notified records that a client was told another way, such as by phone. Archived clients sit behind a switch.
  • Appointments shows upcoming sessions. Your executor can cancel one at a time, or Cancel all and notify.
  • Access log shows everything they have looked at or done.
  • Close practice cancels any remaining sessions, sends your message to every client not yet told, and takes down your booking page. Your executor has to type “close” to confirm.

Handing over records

From a client’s card, Send records prepares that client’s records for someone else: your successor therapist, another therapist by email, or the client themselves. Your executor chooses what to include from the signed contract, sent documents and signed forms, plus session notes if you allowed them. Bloom builds one PDF pack and stores it securely, then emails the recipient a link and, separately, a one-time code. The link lasts 14 days, three wrong codes lock it, and records are never sent as an email attachment.
Your executor sees your clients and your upcoming sessions and nothing else. Payments, insights and the rest of Bloom stay closed to them. In a multi-therapist practice each therapist names their own executor, who only ever sees that therapist’s clients.

How access ends

Access lasts 90 days from approval. Bloom warns your executor a week before it ends, and can extend it once if more time is genuinely needed. If you sign in to Bloom while your executor’s access is active, it ends on the spot. Their sign-in is revoked, your subscription resumes, your booking page comes back, and you are both emailed. Everything they did while acting for you, including who was contacted and which records were handed over, is shown under Settings, Clinical will, in the Access log. If the 90 days pass without your return, the practice is locked and your data is kept safe. Contact us if it needs to reopen.
